Accounting Software
In the past, businesses recorded their dealings in large books by candlelight. Today, the same terms, such as balance sheet or general ledger, are used; but now these dealings are usually electronically recorded into specially designed accounting software. Businesses vary greatly, and so do the needs of their accounting system. As a result, there are likely to be as many types of accounting software as there are types of businesses that exist in this world.
Commonalities with Accounting Software
Despite the differences, there are some generalities that exist for businesses. All businesses deal with cash flow, and require software solutions that can handle such transactions. For instance, the typical business will need software capable of managing the following:
- Accounts payable: Money the business owes another entity.
- Accounts receivable: Money the business is owed.
- Cash: Cash on hand
- Expenses: Money spent on the upkeep of the business.
The list goes on, and varies depending on the business. In fact, the situation can become so complex that there are actually companies that specialize in finding the proper accounting software for another company. One such company is ASA Research, which uses a 350-point criteria to grade accounting systems. Some of the factors ASA takes into account include methods for handling accrued vacation days, lot tracking, and minimum stock levels.
Company Size
Companies not only differ in their needs, but also in their sizes. It is often the case that small companies will find certain solutions useful, while medium to large companies will require something different altogether.
For small companies and sole proprietorships, several programs have taken the lead in the market. One is QuickBooks, by Intuit, a small business version of their popular Quicken personal finance program. Others include Microsoft Office for small businesses and Peachtree accounting. For larger companies, software often needs to be tailored to particular industries. Another major difference is the training of those using the software. While a small company may have only a few employees wearing multiple hats, larger companies have accounting departments with employees who often have college accounting degrees or are CPAs. In such cases, software tends to require additional training for use but is also more specifically tailored to the user. For example, software for a large hospital will include diagnosis and treatment codes as well as methods for dealing with Medicare and other insurance providers.
Other Considerations
The most important feature for an accounting software package is that it meets the need of the purchaser. For this reason, it may be a wise move to invest in a consultant who can custom fit a package to your needs.
Accounting software must meet governmental accounting standards. It is important to be sure that the accounting software is appropriate for the country of its use.
