The Purchasing Process – Choosing Your HR Software
When choosing a new software application, it is important to analyze your company's needs. Decide which processes are working and which ones aren't. This, in turn, will help you resolve which new processes you would like to introduce. The resulting list can now be considered your “requirements list” as it contains all the desired functions of your new software system.
An important component of your requirements list is necessary interfaces with other software currently in use by your company. In other words, if your new system is to interact with existing software, it must be compatible with those applications.
Now that you have an idea of what you are looking for, you should begin viewing demonstrations. If possible, you'll want to insist that the version being demonstrated is the actual version you will be receiving. This is because software vendors often opt to demonstrate their newest version of a product, which is usually not yet available to companies.
Once you have viewed all the demos, you'll probably find that you've narrowed your choices down to about two or three different packages. At this point, one of your main deciding factors should be cost. Is employee training included as part of the implementation process? How much will it cost for annual maintenance fees?
You also want to consider the life span of each current software version. Some products require an upgrade every couple of years in order to stay supported by the vendor. This could end up costing you a lot of time and money, so it is important to look for software that guarantees support for your version for at least three years.
Another point to bear in mind is the level of customization required, as customization of your software can be quite expensive. Furthermore, once a system is customized, every time a system update is applied, your customizations may conflict with those updates, thus adding to future upgrade costs.

Through your new software, you should also be able to update personal information, view current and previous payroll information, and generate real-time benefit statements at the touch of a button.
