Project Management Software
Project management can be a complex and daunting job, one that requires strict control over the four basic components of a project: resources, time, money, and the overall scope of the task at hand (its size and complexity, the goals needed to achieve the task, the requirements in terms of resources needed to meet those goals.) Good project management software can make the task of allocating, coordinating, and controlling these fundamental project components much more efficient and beneficial to the completion of the job.
Managing Resources
Important resources on a project include, first and foremost, people. Labor is, of course, a vital resource that must be managed. This includes not only employees but subcontractors, suppliers/vendors, inspectors, and anyone else directly involved with the completion of the project. Project management software can easily sort through the many variables involved with this most important project resource. It can create, maintain, and update work assignments and schedules, estimate the amount of labor needed for given tasks and determine the best way to allocate labor on the project.
Other resources that can be effectively monitored and controlled with the help of project management software are equipment and other materials needed to complete the project. In order for the project to proceed on schedule the proper equipment and materials needed must be secured in a timely manner and allocated when and where they are needed. Project management software can keep up-to-date on the assignment of these resources as well inventory so that new supplies can be ordered as the materials are used and work can continue without interruption.
Managing Time
Time management is a crucial part in the success of a project. Project management software is an invaluable aid in this. Software can help determine the important aspect of project related tasks: the estimated time tasks should take and the amount of labor hours that should be allocated towards completing those tasks. It can also help determine the critical order in which tasks need to be completed to ensure that the project flows smoothly (a project manager would need to know, for example, that electrical wiring and plumbing must be completed before installation of drywall or concrete could begin).
Creating and keeping track of schedules is another vital task that good project management software can help streamline. From keeping track of labor hours to reaching target and completion dates, time management is important in terms of allocating costs and manpower as well as fulfilling contractual obligations in terms of bringing a project to completion on a promised date.
Managing Money
Project managers are responsible for bringing in projects on time and under budget. Project management software can help sort out and control all of the financial matters related to a project from the bidding process to the cost estimation (including labor costs, equipment and material costs, payment of subcontractors, etc.) to the final profits brought in when the project is completed.
Good project management software will help managers factor in unforeseen and potentially costly delays such as unusual weather, supply shortages, and work stoppages; it will also notify managers of circumstantial changes (blown deadlines or a supplier's inability to provide needed materials) that might impact the budget and the bottom line profitability of a project.
